PREREQUISITES
Coordination: I would need to coordinate operations with your venue (reception hall, church, etc), other media vendors (photographers, video teams, DJ, etc) and event coordinator (if applicable). This is to ensure things such as identifying any restrictions in any venue (usually church venue’s have physical restrictions in their venue), coordinating being able to capture sound from your DJ for your speech audio, and other important measures to ensure we can work smoothly with all vendors involved in your event. Photographers/Videographers are sometimes limited by rules imposed by registrars, ministers and venue management as to what can and cannot be done. For example, some ministers insist that no flash photography is allowed, and others will insist that the Photographers/Videographers shoot from a specific location. In such circumstances, the Clients agree to accept the technical limitations that may be imposed. We advise the Clients to make themselves aware of the rules of the venue concerned and if necessary negotiate with the personnel concerned.
Creative Freedom: Client acknowledges that they are familiar with my portfolio and is requesting services with knowledge of my visual style of photography / video coverage. Understands that my work is constantly evolving and my services are of unique and artistic nature, that the photos/videos may be different from other projects captured in the past, and that in creating the multimedia, I shall use my personal artistic judgment to create media consistent with my personal vision of the event. Which vision may be different from the clients, and or the subject’s vision of the event. Accordingly, the client acknowledges that the project shall not be subject to rejection on the basis of taste or aesthetic criteria.
Retainer and Balance: A 75% Non-Refundable retainer fee is due no later than 4 weeks prior to the event, the remaining 25% of invoiced amount is to be paid out in full at the time of project completion and ready for delivery.
Cancellations and Retainer: In the event of any sort of cancellation – the retainer may be used for a rescheduled date for the event up to one calendar year after the originally scheduled date. This non-refundable retainer serves as compensation for holding that original date for you and as reparations for the choices you make when it comes to rescheduling. Cancellations may be for any reason including personal affairs, venue disruptions for any reason, natural disaster or other act of god scenarios including covid-19 and other public health related sanctions, forced lockdowns, ban on gatherings, and other state or government imposed restrictions. After one calendar year this retainer fee is no longer applicable and is forfeited by the customer if a new date is not scheduled within that time frame. In the event of a cancellation and rescheduling of the event needing to take place both customer and vendor must work together to find a mutually agreeable reschedule date but in cases where the clients don’t consult us before rescheduling or willingly choose to reschedule on a date when we as the vendor are not available, this retainer will be forfeited outright. In the event of the customer needing to reschedule the event, a non-refundable $250 rescheduling fee will be applicable in addition to the remaining balance for the project.
